E-invoicing is coming: Prepare for the digital invoice revolution

•

4 min leestijd

The EU adopted its VAT in the Digital Age (ViDA) package on 11 March 2025. Its digital reporting requirements, based on e-invoicing, apply to cross-border B2B transactions from 1 July 2030. National obligations can apply earlier.
In this blog, Silvester Jansen, consultant at Eqeep, explains e-invoicing and how to prepare your organisation.

Why e-invoicing?

Until now, there has been no standard method for creating invoices. Companies sent invoices in various formats (PDFs, Word documents) through different channels (mail, email, online portals). These invoices often had to be manually processed in accounting systems. There were hardly any rules regarding structure and content, leading to inefficiency and errors.

E-invoicing exchanges structured invoice data directly between systems. UBL is a commonly used format; EN 16931 defines a European standard for invoice information. Automated validation and processing can reduce rekeying, while exceptions and approvals may still need human attention.

How e-invoicing works in practice

  1. The invoice is automatically generated in your ERP or accounting system
  2. It is sent in a structured format via a secure network
  3. The system automatically validates whether the invoice meets all requirements
  4. The recipient imports the invoice directly into their own system, where automatic matching and approval take place

The benefits you’ll notice immediately

For governments, e-invoicing offers major advantages — everything becomes traceable, making tax audits simpler. But as a business, you’ll also benefit significantly.

E-invoicing can reduce manual entry and speed up invoice processing. The saving depends on invoice volume, exception rates, integration and operating costs. Measure processing time and cost per invoice before and after implementation to establish your own result.

Structured invoice data can improve financial visibility and make audit checks easier. Compliance and security still depend on correct data, retention, access controls and the rules applicable to each transaction.

The developments are ongoing. In the coming years, several trends are expected:

  • More and more countries will mandate e-invoicing, especially for B2B transactions
  • AI will assist in matching and fraud detection
  • Blockchain will enhance transparency in the invoicing process
  • API integrations will enable real-time processing
  • Robotic Process Automation (RPA) will take over repetitive tasks

Challenges to keep in mind

The implementation route depends on your accounting software, connectivity and trading partners. Options include supported software, a service provider or a portal. Scope the integration, testing and exception handling before estimating cost and duration.

For smaller companies with a limited number of invoices, these implementation costs may be a relatively large investment. For larger organizations, however, they are outweighed by the long-term benefits and savings. Other challenges include technical readiness and resistance to change within the organization.

Legislation and obligations

The European Commission explains the ViDA timetable. In the Netherlands, suppliers to central government must e-invoice; other businesses can also use e-invoices. See the RVO invoice requirements. In Belgium, structured e-invoicing has been required for most domestic B2B transactions between VAT-liable businesses since 1 January 2026; check the Belgian government guidance and exceptions.

Check domestic requirements separately from the EU cross-border timetable. A policy proposal is not the same as enacted legislation, and the applicable rules can differ by country and transaction.

Start preparing today

Start by mapping the countries you trade in, the customers you invoice and the systems handling those invoices. Prioritise existing obligations, then plan the changes needed for future requirements.
