IFS Cloud EAM or IFS Ultimo: how the two differ

•

4 min leestijd

IFS Cloud EAM and IFS Ultimo are both enterprise asset management (EAM) products from IFS. IFS Ultimo is a standalone software-as-a-service (SaaS) solution focused on maintenance and safety. IFS Cloud EAM is part of the IFS Cloud platform, alongside enterprise resource planning (ERP) and field service management. The better fit depends on whether maintenance stands on its own or must share one system with finance, supply chain and service.

Eqeep compares the options using your work orders, asset structures and integration needs. Your team decides which proposal fits its operating model.

How do IFS Cloud EAM and IFS Ultimo differ?

IFS positions IFS Ultimo as a standalone EAM solution with rapid deployment, and IFS Cloud as the platform for complex end-to-end business processes. That difference shapes scope, integrations and implementation effort. Both still need assessment against your required workflows and purchased scope.

Check which capabilities are included in the proposed edition and deployment model. Agree who owns interfaces with enterprise resource planning (ERP), finance and parts systems. Request a demonstration using your asset structures and safety requirements.

The main differences at a glance

IFS Ultimo

  • Standalone SaaS for maintenance and safety, running on Microsoft Azure
  • Three prepackaged editions; IFS reports more than 2,300 customers in over 40 countries
  • Integrated health and safety modules, including work permits, lockout tagout, incident management and management of change
  • Designed for short implementation times; connects to your existing ERP through integrations

IFS Cloud EAM

  • Part of the IFS Cloud platform, alongside ERP, field service management and project management
  • Asset records, maintenance, finance, supply chain and service in one system
  • Available as an IFS-managed cloud service or as a remote deployment
  • Two release updates a year, plus monthly service updates

As a rule of thumb: if maintenance and safety are the main need and your ERP stays in place, IFS Ultimo can be the more direct route. If asset management must share data and processes with finance, supply chain, projects or field service, IFS Cloud EAM avoids building those links between separate systems. See also IFS Cloud EAM. Eqeep tests both assumptions against your own scenarios.

Test a maintenance workflow in both products

What should the demonstration prove?

  • Planning, mobile execution and approvals for the same work order
  • Safety permits, contractor access and recorded authorisation
  • Asset hierarchy, spare parts and completion costs
  • ERP interfaces, data ownership and edition limits

Use this illustrative test scenario: a technician reports a defect against an asset. The proposed workflow creates approved maintenance work, reserves parts and records safety authorisation. Show how completion details and costs reach the relevant systems. Compare the configuration, integrations and manual steps each proposal requires.

As an IFS Specialized Partner in the Benelux, Eqeep defines requirements and tests assumptions with your team. We document demonstrated capabilities, open questions and implementation dependencies. Your decision owners agree the criteria and preferred route.

IFS Cloud EAM and IFS Ultimo questions

Is IFS EAM always the better option for existing IFS ERP users?

No. Existing IFS ERP use can strengthen the integration case, but it does not determine the best fit. Eqeep also assesses maintenance workflows, safety controls, user needs and implementation capacity.

What should be included in an IFS EAM and Ultimo comparison?

Include maintenance scenarios, asset structures, mobile work, parts, safety controls, reporting and integration requirements. Eqeep also reviews edition scope, deployment responsibilities, implementation effort and your team’s capacity. Request evidence against those criteria before choosing.

When is IFS Ultimo the better fit?

When you need a maintenance and safety system without replacing your ERP. IFS Ultimo is a standalone SaaS product with prepackaged editions and integrated safety modules. Check the edition scope and the ERP interface in a demonstration with your own scenarios.
